Welcome to A2Z Billings. By accessing or using our website and services, you agree to comply with and be bound by the following Terms & Services. Please read them carefully before using our services.

1. Acceptance of Terms

By using our website or contracting our services, you agree to be legally bound by these Terms and any applicable service agreement. If you do not agree, you must not use our services.

2. Scope of Services

A2Z Billings provides medical billing, medical coding, revenue cycle management (RCM), claim submission, denial management, payment posting, AR follow-ups, and related administrative services to healthcare providers within the United States.

We do not provide medical care, medical advice, diagnosis, or treatment. All clinical decisions, documentation, and medical necessity determinations remain the sole responsibility of the provider.

3. U.S. Healthcare Compliance

A2Z Billings operates in accordance with applicable U.S. laws and regulations, including but not limited to:

  • HIPAA (Health Insurance Portability and Accountability Act)
  • HITECH Act
  • CMS (Medicare & Medicaid) billing guidelines
  • Commercial payer policies

Upon request, A2Z Billings will enter into a Business Associate Agreement (BAA) with covered entities as required under HIPAA.

4. Client Responsibilities

Clients are solely responsible for:

  • Accurate and complete clinical documentation
  • Compliance with Medicare, Medicaid, and commercial payer rules
  • Maintaining valid licenses, NPIs, taxonomy codes, and enrollments
  • Providing timely and correct demographic, insurance, and coding data

A2Z Billings is not responsible for claim denials or delays resulting from inaccurate, incomplete, or late information supplied by the client.

5. HIPAA & Data Security

We implement reasonable administrative, technical, and physical safeguards to protect Protected Health Information (PHI) as required by HIPAA.

However, no system can be guaranteed to be 100% secure. By using our services, you acknowledge and accept this risk.

6. Fees & Payment Terms

  • Service fees are defined in a separate written agreement or proposal
  • Payments are due according to agreed timelines
  • Late payments may result in service suspension or termination
  • All fees are non-refundable unless explicitly stated otherwise

7. No Guarantee of Payment or Results

A2Z Billings does not guarantee claim approval, reimbursement amounts, or payment timelines. Payer decisions depend on medical necessity, documentation, payer policies, audits, and regulatory changes.

8. Audits & Government Reviews

In the event of:

  • Medicare audits
  • Medicaid reviews
  • Commercial payer investigations

A2Z Billings will reasonably cooperate but is not liable for audit outcomes, recoupments, penalties, or fines arising from provider documentation or compliance issues.

9. Confidentiality

Both parties agree to maintain strict confidentiality of proprietary, financial, and patient-related information, except as required by U.S. law or permitted under HIPAA.

10. Intellectual Property Rights

All website content, branding, text, graphics, and materials are the exclusive property of A2Z Billings and are protected under U.S. intellectual property laws. Unauthorized use is prohibited.

11. Limitation of Liability

To the maximum extent permitted by U.S. law:

  • A2Z Billings shall not be liable for indirect, incidental, special, or consequential damages
  • Total liability shall not exceed the fees paid by the client in the three (3) months preceding the claim

12. Indemnification

Clients agree to indemnify and hold harmless A2Z Billings from any claims, penalties, damages, or losses arising from:

  • Inaccurate documentation
  • Provider non-compliance
  • Fraud, abuse, or misrepresentation

13. Termination

Either party may terminate services in accordance with the written service agreement. Upon termination:

  • Outstanding balances remain due
  • Access to systems and data may be revoked
  • HIPAA and confidentiality obligations survive termination

14. Third-Party Services

A2Z Billings may use clearinghouses, EHR systems, or other third-party vendors. We are not responsible for third-party system outages, errors, or delays.

15. Governing Law & Jurisdiction

These Terms shall be governed by and interpreted under the laws of the United States and the State in which A2Z Billings operates, without regard to conflict-of-law principles.

16. Changes to Terms

We reserve the right to update or modify these Terms at any time. Continued use of our services constitutes acceptance of the revised Terms.
